Head of Project Management (m/f/d)

Your responsibilities
EIT Health is seeking to appoint a Head of Project Management (m/f/d) who will be reporting to the Director of Business Operations and Sustainable Development. The candidate must be comfortable interfacing with different stakeholders from other units and departments across the organisation, supervising the development and the implementation of overall processes of the EIT Health Business Plan. The candidate will work in close cooperation with the Head of the Sustainable Development Unit.
This is a permanent position and is based in our Central Office in Munich. However, remotely working from Germany, Spain or France is also possible. 

Your responsibilities

Management and leadership
  • Manage team of 5 managers and working student(s), ensuring they have clear visibility on priorities, and objectives. 
  • Oversee the well-being of team members, with a particular focus on colleagues who work on a time-share between different units.
  • Set up bi-annual individual interviews to define and assess the personal development plan of each member of the team.
Good budget & financial stewardship
  • Manage budget envelops allocated to Department activities, ensuring monitoring of actuals versus budget figures to channel underspent and request additional funding at relevant times of the business plan cycle.
  • Manage activities in administration platforms.
  • Monitor objectives, anticipate underperformance and develop mitigation plans in collaboration with Director and Management Team.
Management Team interactions
  • Report to Director of Business Operations and Sustainable Development, attend regular bilateral as well as Management Team meetings.
  • Work in full autonomy based on strategic directions agreed with Director. Escalate in full transparency when and where relevant.
  • Consolidate activity reports and dashboard to guarantee information flow.
EIT Health Business Plan management
  • Supervise the implementation of the Business Plan cycle towards EIT Health (internally and externally): define timeline, guidelines, trainings, dedicated workshops etc.: 
    • Supervise the integration of any activities (EIT Health KAVA) into the EIT Health portfolio
    • Supervise the implementation of the Monitoring & Amendment process towards EIT Health KAVA
    • Supervise the implementation of the Reporting process towards EIT Health KAVA: Proactively engage with teams that are leading EIT Health KAVA and ensure timely reporting on progress, financial, and performance matters e.g., maintaining EIT Health KPIs, budget amendments etc.
  • Supervise the integration of any NEFA (Non EIT Funded Activities) into the EIT health portfolio and ensure support regarding Monitoring, Amendment, Reporting etc.
  • Manage EIT interactions related to the BP cycle (BP Per Se, Monitoring, Reporting, Amendment etc.)
  • Supervise the implementation of the partnership journey processes in close cooperation with Finance and Partnership management Office,
  • Ensure smooth interactions with other units to enable efficient coordination of the knowledge sharing management across the organization in terms of excellence monitoring, creation of ad hoc dashboards, project achievements, KPIs, etc.,
  • Ensure smooth collaboration with other dedicated units to enable the development of ad hoc platforms/digital solutions necessary for the internal processes,
  • Provide the director with data analysis in terms of performance to enable decision making process taking place at management board level,
  • Ensure the quality of any deliverables and outcomes provided,
  • Supervise the improvement process related to this set of activities.
Your skills & knowledge
  • Relevant academic degrees at Master level or higher in a relevant discipline and/or equivalent professional experience/qualifications,
  • Validated experience working in international organisations, public sector, with a strong understanding of compliance requirements,
  • Validated 8 years of experience in project management at EU level, involving grant management, process definition and implementation, multi-stakeholders’ engagement and budget management – certification a plus,
  • Validated experience in managing a multidisciplinary international team,
  • Experienced in working on your own initiative, with a high level of autonomy, collaboratively, and cross-functionally across multiple teams,
  • Experienced leader and comfortable in developing and managing relationships with key stakeholders internally and externally at all levels and organizations – Public and Private,
  • Proven interpersonal and communication skills, strong presentation skills, particularly in writing and an ability to present complex issues,
  • Excellent analytical and problem-solving skills, with the ability to identify and mitigate risks, and develop contingency plans as needed,
  • Ability to produce clear and concise written material,
  • Comfortable working in a fast-paced, dynamic environment that values creativity, collaboration, initiative, and maturity,
  • Is quality and result-focused, action-orientated, and knows how to juggle and progress multiple initiatives, whilst knowing how to prioritize key initiatives to meet the timelines set and manage stakeholder expectations related to these,
  • Display professional levels of confidentiality and political savvy.
  • Fluency in English spoken and written.
