Senior Programme Coordinator (m/f/d)

Your responsibilities
EIT Health is seeking to appoint a Senior Programme Coordinator who will be reporting to the Head of Sustainable Development. The Sustainable Development team is part of the Business Operations and Sustainable development Unit, one of the 3 pillars of the Growth Office, which is overseeing all operations across EIT Health.
The candidate must be comfortable interfacing with different stakeholders from other units and departments across the organisation, coordinating the development and implementation of all Calls for activities across the organization. The candidate will work in close cooperation with the Project Management Office, the Operations Development team, the Innovation and Transformation Unit, the New Accelerator and the Communication teams.
The candidate should possess the ability to travel occasionally across Europe, as the role may involve limited but necessary travel for meetings, conferences, or other business-related activities.
This is a permanent position and is based in our Central Office in Munich. However, remotely working from Germany, Spain or France is also possible. 

Your responsibilities

Call for activities management
  • Coordinate the preparatory phase for any Call for activities with dedicated units across the organization,
  • Coordinate the Call for activities document set-up, writing, communication and dissemination,
  • Coordinate the implementation of the evaluation processes in collaboration with dedicated units,
  • Ensure the good communication with other units about Call data management and dashboards creation for decision steps, communication and dissemination of results,
  • Coordinate the deployment of retrospective analysis,
  • Ensure the quality of any deliverables and outcomes provided,
  • Coordinate the improvement process related to this set of activities.
Management and reporting
  • Manage daily the programme coordinator assistant, including organization of ad hoc meetings,
  • Set up bi-annual individual interviews to define and assess the personal development plan of the assistant,
  • Participate in ad hoc meetings with dedicated teams,
  • Report regularly to the Head of Sustainable Development on the progress of the activities and interactions with any other unit,
  • Provide ad hoc written activity and costs reports,
  • Propose mitigation/improvement action plans related to the set of activities under his/her responsibilities,
  • Support the Head in any operational and strategical tasks linked to the Department development and improvement.

Your skills & knowledge
  • Relevant academic degrees at Master level or higher in a relevant health or science discipline and/or equivalent professional experience/qualifications,
  • Validated experience working in international organisations, public sector, or healthcare sector, with a strong understanding of regulatory and compliance requirements,
  • Validated 7 years of experience in project management at EU level, involving grant management, call writing, multi-stakeholders’ engagement and budget management – certification a plus,
  • Validated experience in working in a multidisciplinary international team,
  • Experienced in working on your own initiative, with a high level of autonomy, collaboratively, and cross-functionally across multiple teams,
  • Comfortable in developing and managing relationships with key stakeholders internally and externally at all levels and organizations – Public and Private,
  • Proven interpersonal and communication skills, strong presentation skills, particularly in writing and an ability to present complex issues,
  • Excellent analytical and problem-solving skills, with the ability to identify and mitigate risks, and develop contingency plans as needed,
  • Ability to produce clear and concise written material,
  • Comfortable working in a fast-paced, dynamic environment that values creativity, collaboration, initiative, and maturity,
  • Is quality and result-focused, action-orientated, and knows how to juggle and progress multiple initiatives, whilst knowing how to prioritize key initiatives to meet the timelines set and manage stakeholder expectations related to these,
  • Display professional levels of confidentiality and political savvy.
  • Fluency in English spoken and written.
